Reduce PDF Size

Make PDFs easier to email, upload, and share without replacing the originals. Use a saved reduction level or choose the quality and size tradeoff when the Action runs.

  • Access: MenuSmith Pro
  • Finder availability: One or more PDF files

See the Reduce PDF Size overview and screenshots on the MenuSmith website.

Add and configure

  1. Open Action Library and find Reduce PDF Size.
  2. Choose a starter configuration and add it to My Finder Menu.
  3. Select the new Menu Action and review its settings and availability rules in the Inspector.
  4. Run it from a matching Finder context.

Settings

  • Reduction Level

Starter configurations

  • High Quality
  • Balanced
  • Smallest File
  • Prompt for Reduction Level

Starter configurations set initial values only. Adding one does not permanently link the Menu Action to that starter.

What it can do

  • Create smaller copies beside the originals
  • Choose a saved reduction level
  • Preview estimated size in the interactive flow
  • Preserve page count and page dimensions

Typical workflow

  1. Select one or more PDFs
  2. Run a saved level or choose one interactively
  3. Find the reduced copies beside the originals

Important details

  • Encrypted and digitally signed PDFs are skipped to preserve document integrity.
  • If a candidate is not smaller than the original, MenuSmith does not create a redundant copy.

If MenuSmith asks for access, review Authorized Folders. If the Action does not appear, check Finder Integration and the Menu Action's availability rules.
